Job summary

Responsibilities:

A)    Supporting head of institutional business division

¨        General administration of IBD division - visitors support, arrange meetings and venues, travel arrangements if necessary.

¨        Handling IBD invoices payments via internal accounting system.

¨        Support marketing activities/client events such as seminars and forums, invitations, RSVPs, materials.

 

B) Supporting to the sales

¨        Administrative support to sales teams, including meeting arrangements, preparing and maintaining sales materials. Prepare and arrange quarterly meetings reports and make sure clients receive materials by meetings.

¨        Arrange necessary compliance reviews and checks for sales materials.

¨        Sending periodical or ad-hoc information/material to the clients and the prospects.

¨        Client (incl. prospects) information/data maintenance including arrangement for congratulatory telegrams and seasonal greeting cards.

¨        Email deliveries for monthly reports, institutional investment strategy reports and others.

¨        Data management - Index, Performance monitor, handling sales enquiries, peer analysis with eVestment, product performance data analysis.

¨        Closely communicate with stakeholders in overseas for sales forums for arrangements.

¨        Check public calls on their HP for public pension teams.

¨        Expense reimbursements.

¨        Arrange reservations for dinners and lunches for clients with necessary internal application procedures to comply with local requirements.
