Job summary

Provide administrative support to the Amundi Technology executive team, as well as providing team work / support to the other EA in Amundi Technology.

Supplementary Information

Main Tasks and Accountabilities:

 

  • Organise business trips including booking flights, hotels, taxis and scheduling itineraries, and using initiative to resolve sudden changes to itineraries/schedules
  • Calculate and process expense claims from business trips
  • Maintain diaries where required including arranging appointments
  • Protect and ensure the confidentiality of all information
  • Act as ‘gatekeeper’ for diary and pro-actively ensure diaries do not have clashes, use initiative to find resolutions and workarounds, highlight conflicting appointments
  • Prepare general correspondence, including confidential documents, and drafting responses to correspondence
  • Organise incoming and outgoing mail, courier services, special delivery requirements
  • Handling overseas visitors agendas
  • Committees – schedule numerous senior level meetings and preparing documents
  • Screen telephone calls, taking and conveying messages where
  • Provide admin support as and when needed
  • Frequent liaison with Paris office to assist with meetings and visitors etc.
  • Print and collate all documentation as required
  • Organise other ad-hoc internal and external meetings
  • Support with any other ad-hoc administrative support

Candidate criteria

Minimal education level

Bachelor Degree / BSc Degree or equivalent

Academic qualification / Speciality

BA/BSc or equivalent

Experience

  • Experience of understanding / speaking French will be useful, but not essential
  • Experience of working in a Financial Services organisation
  • Strong Microsoft Office skills particularly with Outlook, PowerPoint and Excel

Technical skills required

  • Highly organised with excellent abilities to multi task
  • Excellent time management skills
  • Strong verbal & written communication skills and the ability to be flexible
  • Friendly, polite and the ultimate professional in terms of appropriate behaviour when interacting with different stakeholders both internal and external. This includes exhibiting the appropriate discretion
  • A team player. This person must be prepared to work closely with and support fellow EAs and Team Assistants across the business.
